If your job is to provide customer service over the telephone, then you should pay special attention to the following 7 simple yet very powerful telephone tips that will help you take better care of your customers each and every day.
1. Greet your customer promptly, friendly, and professionally.
2. Be sure to provide your name and ask your customer for their name, taking care to use it instead of “Sir or Ma’am” during your conversation.
3. Even though your customer won’t be able to see you do it, SMILE while talking to them because they will be able to feel your smile.
4. Speak loudly, clearly, confidently, and in manner that the customer can understand; being sure to enunciate your words.
5. Never eat, chew gum, or drink a beverage while talking to your customer. Your customer CAN hear it, and trust us, it’s not something that’s particularly appealing.
6. Actively listen to what your customer has to say so that they don’t have to repeat themselves because you weren’t listening.
7. No customer likes to be put on hold, so if you must first ask their permission to do so, explaining why you need to, and how long the hold time will be. Example: “Ms. Davis can I place you on hold for 2 minutes while I check on the status of your shipment?”
Speak loudly, clearly, confidently, and in manner that the customer can understand.
